PhraseTrainer (the “Service”) considers the appropriate handling of users’ personal information to be a social responsibility. We comply with Japan’s Act on the Protection of Personal Information and other relevant laws, and establish this Privacy Policy as follows.

2. Information We Collect

The Service collects the following information.

• Account information: email address, password (stored hashed), display name
• Learning content: audio/video files uploaded by the User, extracted phrases, transcripts, and tags
• Recording data: audio recorded by the User during pronunciation practice
• Usage logs: number of practices, AI evaluation scores, learning history, access timestamps, IP address, User-Agent
• Payment-related information: payment information processed via Stripe (card numbers are held by Stripe and not retained by the Service), plan type, and billing history
• Inquiry content: the content of inquiries you send by email or otherwise

3. Purposes of Use

• Providing the Service, authentication, and account management
• Providing features such as AI pronunciation evaluation, transcription, and audio separation
• Billing and payment processing
• Improving service quality and developing new features
• Detecting and preventing fraudulent use
• Responding to inquiries
• Sending important notices (specification changes, incident information, etc.) by email

4. Third-Party Provision and Subcontracting

To provide its features, the Service entrusts the processing of information to the following external services. Such information is handled in accordance with each provider’s privacy policy.

We do not provide personal information to third parties other than the above, except where required by law or where the individual’s consent has been obtained.

5. Cross-Border Data Transfer

The Service’s servers are located in the EU (Finland), and some of the subcontractors above are located in the United States. The level of personal-information protection in these countries may not be equivalent to that of Japan; however, each subcontractor implements appropriate safeguards such as Standard Contractual Clauses (SCC).

6. Cookies and Similar Technologies

The Service uses cookies and localStorage to maintain login state, remember user settings, and perform access analysis. You can disable these in your browser settings, but some features may be limited.

7. Retention Period

• While the account is active: all data is retained.
• Upon account deletion: data is, in principle, deleted within 30 days. However, information subject to a statutory retention obligation (such as accounting records) is retained for that period.
• Payment history: retained for at least 7 years as required by law.

8. Rights of Users

Users have the following rights regarding their personal information. To make a request, please contact [email protected].

• Request to suspend use or erase
• Request to stop third-party provision
• Data portability (to be provided as an Export feature)

9. Security

To prevent unauthorized access to, loss of, alteration of, or leakage of personal information, the Service implements measures such as TLS encryption of communications, hashed storage of passwords, and minimization of access privileges.

10. Use by Children

The Service is not intended for use by children under the age of 13. Those under 13 should use the Service only with the consent of a parent or guardian.

11. Changes to This Privacy Policy

We may revise this Policy in line with changes in law or in the Service. If there is a significant change, we will notify you by an announcement within the Service or by email.
